The tool feels great today. The real question is what exit costs tomorrow.
A client learned every lead lived inside a SaaS product without a full automatic export. The vendor offered a paid export service once a quarter.
That is not evil. It is a business model. If you did not ask before signing, you pay twice.

What Vendor Lock-In Really Means
It is not only "their code is closed". It is also: data formats you cannot move, high migration cost, dependency on a unique feature competitors lack, or accounts and infra only in the vendor's name. When any of these apply, switching vendors becomes a project, not a toggle.
Questions That Need Answers Before Signature
- Export: is there CSV/JSON/API for each business entity (customers, orders, inventory)? how often?
- Backups: who owns them, where they live, how you recover from failure
- Domains and accounts: are domain, analytics, mail, and payment accounts in your name
- Code and repo: for custom work, who owns the code and where the latest version lives
- License to run: can you run a copy on your side if the vendor disappears
A point that saves money:
Ask for a small export drill in week one (even on a sandbox). If it hurts then, it will hurt 10x in production.
SaaS vs Custom Build: Where Risk Differs
SaaS buys speed and maintenance, but you may trade away full control of data shape. Custom costs more upfront, but you can require repo, docs, and hosting on your accounts. There is no absolute winner, only fit for the risk you accept.
How This Ties to GDPR, Compliance, and Cyber Insurance
In 2026 more B2B buyers ask where data lives, who subprocesses it, and how deletion works. If you cannot answer because the vendor gave no clear path, you carry risk toward your own customers. That is not marketing fluff. It is operations.

Data portability is insurance. You do not need paranoia. You need contract clarity and a small real-world test before multi-year commitment.
