Good automation starts from something that annoyed you this week: copying a lead from WhatsApp into a sheet, updating status by hand, sending a message after a payment. AI comes in when something needs classifying or drafting. Not as decoration on a slide, and not as "an agent that replaces the company".

What gets connected
Site, WhatsApp, sheets, CRM, billing, email. If it already happens by hand, it can become a flow with logs and a readable error. If there is no process yet, automation just scales the mess. The technical side of those hooks is in the integration article.
Where a model helps, and where it gets in the way
Summarizing inbound messages. Tagging. A reply draft. Pulling fields out of messy text. Not "replace the desk". A human still handles exceptions. That is how it stays trustworthy, and how you do not wake up to a promise the model invented for a customer.
How it does not die after a month
A log. A failure you can read. Someone in the business who knows what to do when a vendor goes down. Warranty after launch, and maintenance if you want me in the picture. Automation with no owner dies quietly, and then people say "AI does not work".
Questions
Do we need an expensive ChatGPT plan?
Not always. Some flows are a plain connection with no model. When a model is needed, we pick it based on data sensitivity, not hype. Some information simply does not leave the building.
Does this replace a hire?
It replaces copy-paste between windows. Not a conversation with an angry customer. If someone sells you the full replacement, ask to see it run for a week on your real inbound.
When do we see a result?
One painful flow: sometimes weeks, if we have access and someone who tests. "Automate the whole company" is a different project, and we start in one place. Otherwise you get a pretty slide and an inbox full of exceptions.
